Account/Relationship Manager

Scope of Responsibility:

This is both a strategic selling/relationship development role and an execution role of finding, and placing, Creatis employees with clients.  A successful performer will bring a proven ability to develop and expand relationships with past and current clients at all levels within an organization (VP to Manager), and effectively find, recruit, engage and manage relationships with Creatis employees.  The Account/Relationship Manager is responsible for directly managing an assigned book of clients and employees, and is accountable to meet or exceed weekly metrics and key financial measures (revenue, profit margin) for each assignment he/she manages, as well as his/her total book of assignments.


The Creatis Account/Relationship Manager will be an experienced and connected business professional with established relationships with creative, marketing, human resources and other business professionals across the Twin Cities.  He/she will have direct experience and familiarity with how marketing/creative services teams operate and how staffing augmentation can create value for clients. The key responsibility is to retain current clients and generate future revenue by growing existing or previous clients; while effectively recruiting and placing Creatis employees within our client companies.  He/she will be a self-starter, motivated, strategic, and resourceful. He/she will have a proven ability to work independently as well as working collaboratively across the Creatis team. Key Responsibilities:

Business Development/Account Management (35% of time)
: Responsible to grow both staffing revenue (and generate studio leads/prospects) from existing accounts and/or create new leads, prospects and customers from current or previous clients as well as from own network. Responsible for the management of a dedicated Book of Business as assigned by the Director of Staffing, with direct responsibility to retain and grow revenue and profit from these existing clients.  Also accountable to find, qualify and convert new clients by following the established sales pipeline management process and staffing engagement touch point plan.  All business development efforts will include ongoing documentation of plans, activities and metrics, and the creation and maintenance of leads, prospects and old/new client data and information within the NetSuite CRM system. 

Ongoing Client Management and Retention (25% of time): Builds, maintains and grows relationships with hiring managers, procurement managers and decision makers for clients as assigned by the Director of Staffing.   Ensures high-quality and timely delivery of services to our clients including qualifying new client needs, conducting client intakes, effectively matching and submitting candidates to client contracts, facilitating effective interviews, managing the client and employee follow-up discussion and closing of a high percentage of staffing assignments worked on.  Ensures the ongoing documentation of all client contacts within CRM, as well as the timely creation and updating of client contact and project information and status updates.

Employee Recruiting, Matching and Onboarding (15% of time): Utilizes networks, online searches/postings, internal database and other sources to identify and find potential candidates and to maintain a pipeline of qualified candidates who meet the values of Creatis.  Proactively sources potential Creatis employees for ongoing jobs typically places, and also is able to creatively leverage resources to find ‘hard-to-find’ positions or those in high demand.   Conducts phone screens, as appropriate, and ensures completion of an in person interview for all Creatis employees prior to an interview or placement.  Maintains a working knowledge of all new Creatis employees and those available on the Creatis bench, so can effectively and efficiently match employees to potential assignments with the highest quality standard.  Facilitates the interviewing and onboarding process for new employees, handling the logistics and other details needed.  Responsible for the creation of employee and project records within NetSuite CRM for all assignments being managed. 

Ongoing Engagement of Employees (25% of time):  Conducts annual reviews and quarterly/ongoing check-ins with employees assigned to this role, along with others assigned by the Director of Staffing.  Conducts on-site visits with employees on an ongoing basis to both drive engagement and to gather business intel.  Effectively handles and resolves employee issues as they arise, on own or in conjunction with Director of Staffing, as appropriate.  Actively solicits and manages referral from employees, and supports the participation and engagement of employees via on-site visits and through participation at Creatis-sponsored events. 

Educational & Experience Requirements:

·Bachelor of Science degree in Marketing, Business Administration, Human Resources or related field.

·5-7 years of experience in sales, B2B account management, marketing or marketing/advertising agency Account Management.  Experience in recruiting or hiring a plus.

·Ability and experience in interfacing with executive-level individuals - primarily the CMO/EVP/SVP of marketing or human resources plus the ‘second-in-command’ marketing staff (Director or Sr. Manager) in addition to procurement professionals.

·Background and/or understanding of marketing and creative processes (industry experience could include advertising, creative services, marketing staffing/studio services, managing a marketing team within an organization, etc).

·Ability to deal with ambiguity and the management of multiple tasks of equal priority.  Uses sound judgment and has proven ability to problem-solve with strong organizational skills and attention to detail.

·Significant and growing professional network within the Twin Cities marketplace.

·Self-starter resourceful, enthusiastic, operates with a sense of urgency, quick-starter and able to meet multiple priorities in a demanding and deadline-oriented environment.

·Proven track record of working both independently and collaboratively.

·Excellent relationship-building skills plus written and oral communication skills required.

·Proficient with Microsoft office suite of products (Outlook, Word, Excel, Powerpoint) required; familiarity with a CRM tool such as NetSuite or Microsoft CRM as plus.

Bookkeeper/HR and Office Administrator (Operations Coordinator)

 Scope of Responsibility:

This is a key execution role within the Creatis team with responsibility for the efficient and effective transactional processing of key financial and human resources activities. Additionally, the person is responsible for the oversight and efficient management of the Creatis offices and the performing of a variety of administrative duties including office management and front desk receptionist duties. 


The Bookkeeper/HR & Office Administrator will be a degreed business professional with at least 3 years of professional work experience preferably within a similar working environment. 

The person must have a proven ability to work in an administrative support role with bookkeeping responsibilities, and interact effectively with a wide variety of employees, business partners and vendors. He/she must also be professional in appearance and interactions, with a strong ability to handle a wide variety of tasks in sometimes stressful situations. The ideal person will have a strong attention to detail with a proven ability to multi-task. He/she will have experience responding quickly and thoroughly to multiple requests. He/she will be a self-starter who is good at working repetitively within defined processes.

Key Responsibilities: 

Bookkeeping and Financial processing (40% of time): Handle a wide variety of payroll, billing and account payable/receivable processes including: 

• Conduct timely and accurate data entry 

• Oversee bi-weekly payroll processing 

• Record daily deposits and enter accounts payable detail into the system; deposit checks 

• Update weekly scorecards, dashboards or similar reports, both internal & client 

• Create and distribute client invoices; maintain up to date records for all billings and payments 

• Work efficiently with client procurement systems to support billing process 

• Support the collection of Accounts Receivable 

• Support year-end financial close including the creation and mailing of 1099 statements, ACA’s and W2’s

Process credit cards for Studio program (currently the AmeriPrise ad program) and resolve any related issues 

• Create, track and manage all aspects of the process for processing invoices and paying 1099/contractors of Creatis

HR Administration (35% of time): 

• Conduct timely and accurate data entry 

• Maintain time reporting system; working directly with employees to ensure that all time is entered accurately and timely 

• Audit weekly timesheets in both NetSuite CRM and the various procurement systems to ensure completeness and identify gaps/discrepancies 

• Manage tracking for employee eligibility for PTO, holiday, health insurance and 401(K) benefit offerings 

• Communicate to employees as they become eligible for benefits and assist in the enrollment into plans, as needed 

• Partner with Staffing team for new hire orientation sessions – including training on NetSuite and completion of new hire documentation 

• Assist in completion, tracking and management of employee background checks and drug screenings 

• Conduct and complete documentation for client-required HR reporting (i.e. monthly sanction checks) 

• Effectively manage new hire set up (phone, eMail, system access) as well as for terminations 

Office Administration/Receptionist (20% of time): Supervise all office needs and serve as front line for visitors and phone calls. 

• Monitor office supplies and place appropriate orders; ensure orders are received and stored in an orderly fashion. Organize and manage all storage areas. 

• Maintain appropriate supply of food, beverage and paper products for the office, including the orderly storing of all items 

• Receive and direct visitors in person, including prospective employees, clients, business partners and delivery personnel 

• Greet and engage Creatis visitors upon arrival (offering beverage, informing person that has arrived, engaging effectively) 

• Manage phone calls and correspondence (eMail, mail, packages, etc.) 

• Receive incoming calls on general and direct phone line; screen calls and direct calls to appropriate person 

• Handle employee calls regarding time entry, benefits, etc. 

Provide contact information/direction for non-Creatis issue to building landlord or appropriate tenant 

• Oversee organization and cleanliness of kitchen area (includes dishwasher, coffee makers, ice maker, etc.) and other standard duties. 

General Administration Duties (5% of time) 

• Order and ensure appropriate delivery and set up of food and beverages for Creatis social/client events in the Creatis offices 

• Order and set up food and beverage for:

    - Board/client meetings (approximately 1 per month) 

    - Quarterly Creatis team birthday luncheons 

• Assist in the coordination of Annual Client/Employee event and other Creatis-sponsored events 

• Maintain a clean and professional office atmosphere and condition 

• Maintain employee records and lists, as needed (i.e. phone lists, birthday/anniversary lists) 

• Filing and other administrative duties 

• Support President/CEO and VP of Finance with other general administrative tasks, as requested 

Required Skills 

• Bachelor’s degree (preferred) or associate degree in accounting, business administration, marketing or related field 

• Minimum of 3 years in a professional, administrative role with bookkeeping responsibilities 

• Proficient in Excel, Powerpoint, Word, Outlook and CRM systems like NetSuite 

• Familiarity with management procedures and basic accounting principles 

• Strong, error-free data entry skills 

• Excellent organizational skills with high level of attention to detail 

• Proven track record of maintaining confidentiality and exercising a high level of discretion about confidential information 

• Ability to multi-task and work in a fast paced, dynamic environment with frequent interruptions 

• Ability to convey a sense of ‘welcome’ to employees, clients and guests 

Position Requirements

• Hours of work are 8:00 a.m. to 4:30 p.m. with flexibility of extended hours as needed
